Technical items need more than text recognition.

ZAPF in Hof manufactures technical plastic products. Its order-intake process brings together different customer formats, item descriptions, references, dimensions and variants.

The previously highly manual workflow connected incoming email, document management and Sage. The task was to bring these steps into a controlled process.

Connect documents, reference data and checks.

Digamma implemented the processing of unstructured orders through to controlled ERP handover. The DokuWare/DMS context is part of the documented workflow.

  • Extract relevant order data from PDFs and emails.
  • Match customers, delivery addresses and items against existing reference data.
  • Account for customer references and technical details such as dimensions or variants.
  • Hand clear cases over to Sage in a controlled process and route unclear cases for human review.

Make exceptions visible before they affect the ERP.

When a customer or item cannot be matched unambiguously, the defined review path applies. Duplicates are handled separately. Logging and error analysis support continuing development.

A production workflow with controlled ERP handover.

Document processing, data checks, human review and Sage processing are connected in an implemented workflow.

The workflow is in production, with key parts accepted. Development continues.
